This page explains what Vaznor stores about servers and members, why, and how to remove it. Vaznor doesn't sell or share data, and doesn't use it for advertising.
Who is responsible
The controller of this data is the operator named in the legal notice. Email [email protected] with any question or request about your data.
What is stored
- Server settings that admins configure, such as the prefix, channels and roles for features, welcome and autoresponder messages, embed scripts, filters and shortcuts.
- Moderation records: cases (who acted, on whom, what and why), notes, warnings, jails (including the roles removed, so they can be given back), hardbans and forced nicknames.
- Feature data for members who use those features: XP and levels, birthdays and timezones you set, AFK status, reminders, a Last.fm username, booster roles, roleplay counters, giveaway entries, roles to restore when you rejoin, and the last time you were seen.
- If you sign in to the dashboard: your Discord ID, username, display name and avatar, and the list of servers you're in with your permissions there, kept while you're signed in (30 days at most). Discord's sign-in token is used once to read those and then revoked. Changes you make there are recorded with your ID so the server's staff can see who changed what.
- Economy and family data: each server's balances, cooldowns, shop items you own, rings, a record of money changes kept for 60 days (so server admins can check for abuse), and the marriages and family links you agree to.
- Aggregate counts, such as how often commands and server emojis are used.
- Name history: past usernames, display names and server nicknames Vaznor sees change (the last 50 of each), shown by
,names. Delete yours any time with, clearnames. Servers' past names are kept the same way. - Things you set up yourself: highlight keywords and who you muted (
,highlight resetclears them), a personal prefix, and toggles such as level-up messages and Last.fm reactions. - Server content: tags and suggestions (with who made them), Last.fm crowns, and members who stopped boosting.
- Activity counts for the stats cards: how many messages each member sent per channel per day, time spent in voice, and how many people joined and left each day. Never what anyone wrote. Daily counts are kept for about a year. Admins can turn this off with
,activity disableand delete it with, activity reset. - Tickets: who opened each ticket, its status and when it opened and closed. Transcripts are posted to the log channel the server chooses and aren't kept by Vaznor.
- Vanity and server tag: in servers with a vanity link, Vaznor reads custom statuses as Discord sends them and keeps only whether yours contains that server's vanity, and since when, for the server's vanity list and reward roles. Statuses themselves aren't stored. Server tags are read from your profile and aren't stored either.
Messages
Vaznor reads messages in channels it can see, to respond to commands and to run features like filters, levels and autoresponders. It doesn't store message content, with two exceptions:
- Snipe keeps the most recent deleted and edited messages in memory for up to two hours, never on disk. Servers can limit it to moderators or turn it off.
- Skullboard and starboard remember which messages were reposted, by ID, so they aren't posted twice.
Server logs, if a server turns them on, are posted to that server's own channels.
Other services
A few commands look things up elsewhere, so the text you give them is sent to that service. Examples include translation, weather, dictionary and Urban Dictionary lookups, Last.fm, roleplay GIFs, memes, Pokémon and link shortening. YouTube and Pinterest feeds only read public feeds. Nothing else about you is sent with the request.
Removing data
Most data can be removed with the matching command, such as ,history removeall, ,levels reset, ,birthday remove, ,timezone remove, ,clearnames or ,highlight reset. Data isn't deleted automatically when Vaznor leaves a server. To have a server's or your own data deleted, email [email protected].
Why it's used
- To provide the features a server turns on (moderation, logs, levels, stats): legitimate interest of the server and of Vaznor in running them, and for the person who uses a feature, performance of the service they asked for.
- To keep servers safe (moderation records, antinuke, filters, honeypots): legitimate interest in preventing abuse.
- To sell licences (order and payment details): performance of the contract, and legal obligations such as keeping tax records.
How long it's kept
- Settings and feature data: while Vaznor is in the server, or until deleted with the matching command.
- Daily activity counts: about a year. Name history: the last 50 of each kind.
- Snipe: up to two hours in memory only.
- Backups: daily copies of the database are kept for 14 days.
- Purchase records: as long as tax law requires (in Ireland, generally six years).
Who else is involved
- Discord runs the platform everything passes through, under its own privacy policy.
- Hosting: Vaznor and its database run on a rented virtual server. The hosting provider stores the data for Vaznor and doesn't use it for anything else.
- Payments: licences are sold through Polar Software, Inc., our reseller and merchant of record. Polar processes your payment and billing details and handles VAT. Vaznor receives your name, email address, what you bought and the amount, never your card number.
- Email: your licence key and order emails are sent through Resend, which handles your email address and the message.
- Polar and Resend are based in the United States, so this data may be processed there; their privacy policies explain how they protect it.
Your rights
You can ask to see, correct or delete your data, object to how it's used, or ask for a copy. In Discord, ,mydata shows what's stored about you and ,mydata delete erases your personal data straight away. Moderation records about you are kept for server safety; the server's admins can remove them. For anything else, email [email protected]. Requests are answered within one month.
If you're unhappy with the answer, you can complain to the Data Protection Commission in Ireland.
Children
Discord's own minimum age applies. Vaznor doesn't knowingly collect more about younger members than any other member, and licences may only be bought by adults or with a parent's or guardian's permission.
Changes
If this policy changes, the date at the top changes with it, and big changes are announced in the support server.
